INFORMATION ON THE PROCESSING OF PERSONAL DATA MADE IN ACCORDANCE WITH ART. 13 OF THE 2016/679 EU REGULATION
Pursuant to art. 13 of the aforementioned Regulation, we inform you that:
Purpose of the processing
Data are acquired by the Associazione Italiana di Cristallografia (AIC) in relation to the dissemination of the institutional and research activities related to the ‘AIC International School of Crystallography (AICS2022): Protein structure models, biophysical data and high-performance computing for drug design’, held from 7 to 10 September 2022 in Trieste, and are collected directly from the interested party for the execution of the provisions of the activity itself.
Methods of processing
Personal data you provide, including images, talk presentations, and audiovisual footage, will be treated mainly with automated tools and will be treated lawfully and fairly; collected and recorded for specific, explicit and legitimate purposes; not exceeding the purposes for which they are collected or subsequently processed; kept in a form that allows for the identification of the data subjected for a period of time not exceeding that necessary for the purposes for which they were collected or subsequently processed. These data will be processed both with IT tools and on paper, and on any other type of suitable support, in compliance with the security measures provided for by the GDPR.
Aim of dissemination and communication of data
Personal data, including images, talk presentations, and audiovisual recordings, you provide are processed within the limits relevant to the processing purposes indicated and may be the subject of communication, publication of institutional campaigns, editorial initiatives and / or dissemination in any form on the institutional sites of the AIC, on institutional social networks (Facebook, Twitter, Instagram, Youtube, etc.) and on any other means of dissemination (including national or local newspapers). Upload and use of the images are considered services free of charge and cannot be used for commercial purposes. The AIC undertakes not to make any use of the images that may be harmful to the dignity, reputation or decorum of the concerned person.
Data recipients and possible data transfer
In relation to and within the exclusive scope of the purposes described above, personal data (images, talk presentations, photos and audio-video footage) may be disseminated in the manner described above.
Personal data may also be transmitted to subjects who process the images acquired in the execution of specific contracts and who will be appointed for this purpose as Data Processors to be carried out according to the instructions given by the Data Controller in compliance with the provisions of the law. The management and storage of collected personal data take place on a server managed by AIC and / or on external servers of suppliers of some services necessary for the technical-administrative management which, for the sole purpose of the requested service, could become aware of personal data of the interested parties, and who will be duly appointed as Data Processors according to the article 28 of the GDPR. Collected data will not be transferred to countries outside the EU.
In no case, the AIC will transfer or sell personal data to third parties.
Profiling
Personal data are not subjected to any fully automated decision-making process, including profiling.
Data retention period
Collected data (including images, talk presentations, and audiovisual footage) will be stored in the paper and / or computer archives and the purposes of these publications are merely of an informative / promotional nature, as well as for institutional use of the AIC. Collected data will be stored in the AIC archives to have a historical memory of events and activities carried out. The storage will be carried out for a period not exceeding the achievement of the purposes for which they are processed and / or for the time necessary for legal obligations. The verification of the obsolescence of data stored in relation to the purposes for which they were collected is carried out periodically.
Rights of the interested party
As an interested party, the interested party has the right to ask the Data Controller for access to personal data concerning her/him, as well as to exercise the rights referred to in articles 15 and following of Regulation (EU) 2016/679, including requesting rectification or cancellation of the same or limitation of processing, revoke any consent given for non-mandatory processing of data or to oppose the processing by submitting a specific request to the contact referred to in the next point.
As an interested party, if conditions are met, the interested party can lodge a complaint with the Guarantor for the protection of personal data as the supervisory authority, according to the established procedures.

The Contact Point of the owner for the exercise of rights of the interested party, for treatments referred to in this statement, is the President of the AIC.
